The Challenge
The agency generates leads from several disconnected sources — lead marketplaces such as AgingCare.com and Caring.com, an outsourced cold-calling team, and inbound web and referral inquiries. Each lived in its own portal. Once a prospect is engaged, qualification and closing are managed in HubSpot, but the data describing how a lead moved from first contact to qualified to signed was scattered across systems that did not talk to each other.
As a result, leadership had no single, trustworthy view of the funnel. There was no easy way to see how many leads arrived in a given period, how many were qualified, and how many actually converted to clients — let alone which lead sources were worth the spend. Reporting meant manually stitching together exports, and day-to-day or week-to-week performance questions went unanswered.

Inside the Build
HiveTek delivered a sales-funnel analytics solution built on Amazon Quick Suite. Lead data from the agency's vendor portals, call centers, and web channels flows through the Sales Leads CRM (HubSpot) and is ingested into a centralized Amazon S3 knowledge base. A single workspace then becomes the source of truth for how the funnel is performing at every stage.
On that consolidated data, HiveTek built a Sales Funnel Analysis dataset and an interactive dashboard, a conversational chat agent and an AI research agent, and a scheduled Flow that emails a daily leads report. Amazon Quick Desktop was deployed with enterprise single sign-on through Microsoft Entra ID, so each authenticated user signs in with corporate Microsoft 365 credentials, and Space-level controls keep funnel data scoped to the right team.
